Secure Share is a file-sharing service that can be used to store, monitor, manage, and delete file shares. Adding files and folders to Share is a simple process and can be completed through a couple of different methods. Password-protected files are also supported, providing an extra layer of security.
Adding files and folders
Files can be added to the Secure Share by either drag and drop, or by using the provided file selection tool.
To add a folder:
- Click the + New button in the upper right corner of the page.
- Select Folder.
- Type a Name and select an existing Parent Folder ID in the dialog box. Clicking Advanced Settings provides options to add tags or metadata to the folder.
- Click Save.
To add a file using file selection:
- Click the + New button in the upper right corner of the page.
- Select File.
- Navigate in the file browser to the location of the file to store.
- Select the desired file.
- Click Upload.
To add a file using drag and drop:
- Navigate to the location of the file in your computer’s folder explorer.
- Click and hold the desired file without releasing the button and drag into the folder listing on the Files page (or the Drag & Drop box, which appears when the Secure Share is empty).
- Release the button once your cursor is over the Drag & Drop box.
Password-protected files
Secure Share supports uploading password-protected files, as well as adding a password to a currently unprotected file. Secure Share files that are password-protected display with a padlock over the file icon.
Adding password-protected files
To add a password-protected file using file selection:
- Click the + New button in the upper right corner of the page.
- Select Password protected file.
- Navigate in the file browser to the location of the file to store.
- Select the desired protected file.
- Click Upload.
Adding a password to a file
To add a password-protected file using file selection:
- Select the file to protect with a password and click the three dots to open the menu.
- Select Add password.
- In the modal that displays, type a password for the file in both of the provided fields.
The password must be at least 8 characters, have an uppercase letter, a lowercase letter, a number, and a special character.
There is a Copy Password button to allow you to easily retain the password. This password is required for downloading or viewing the file until the password is removed.
- Click Save. The file is now protected by a password.
Removing a password from a file
Passwords that have been added in Secure Share can be removed once the password is no longer desired.
To remove a password from a file:
- Select the protected file.
- Click Remove password.
- Type the password for the file in the modal that displays and click Continue.
- The password is removed from the file.
Creating shares in the Files page
Selecting a file or folder shows a Details tab and a Sharing tab on the right hand side. The Details tab contains relevant information, such as the ID of the object, the object type, name, creation timestamp, and last modified timestamp. The Sharing tab displays all current shares of the object, and allows you to create additional shares with the + Secure Link button.
You can also create shares with the + Secure Link right-click menu item for any file or folder listed.
Clicking the + Secure Link button or menu item opens the share creation dialog box with tabs for each of the methods of securing a share-link (secure by sms code, email code, or password). Select the type of share-link to send by clicking the tab. Only the share-links from the active tab are created.
The SECURE BY SMS CODE tab allows you to specify one or more recipient phone numbers. A unique share link will be created for each recipient phone number.
Currently, only North American phone numbers are supported for SMS.
The recipient must include the country code when authenticating the share-link.
The SECURE BY EMAIL CODE tab allows you to specify one or more recipient email addresses. A unique share link will be created for each recipient email address.
The SECURE BY PASSWORD tab allows you to set the password that will be required by the recipient to access the share. A single share link will be created for a password secured share link.
The gear icon at the top right of the dialog allows you to select the Expiration and the maximum View count for the share. If a folder is being shared, there is a Folder access selector on the bottom left of the dialog that allows you to select whether the share is a Download, Upload, or Editor share type. After both selecting the method of securing the share-link and specifying the recipient phone numbers, emails, or the password, press the button on the bottom right to generate the secure share link.
Once you have created the secure links, the Copy or send secure links via email dialog box opens. The dialog box shows a list of all the created share links; clicking any of the links will copy that link to the clipboard. For links secured by SMS code, you can enter an email address for each provided phone number. For links secured email code, all of the emails have already been provided. For links secured by password, you can enter a list of email addresses.
You can click Done to close, or you can provide email addresses for notifications and click the Send email button to send notification emails.
For links secured by password, you must take note of the password specified, as it will not be available otherwise. The method for providing the password to the secure share recipient is up to you, as it is of course not provided in the notification email (if any).
